Privacy Policy

SMB AI Guy ("we," "us," or "our") is a service of Enthropic Data LLC, located in Weddington, NC. This policy describes how we handle information when you visit www.smbaiguy.com, request a free audit, or use our AI Readiness service.

Most of what we handle is business information — the name, address, phone number and website of a business, which is already published on the open web. Very little of it is personal information about you.

Information We Collect

We collect only what is necessary to provide the service:

  • Business information — business name, address, phone number, website URL, hours, categories and similar listing details, used to run your AI Readiness scan and to build and correct your listings.
  • Contact details — the name, email address and phone number of the person we deal with, provided when you request a free audit or sign up. Used to deliver your reports, send your service agreement, and communicate about your account.
  • Account and billing records — your subscription, invoices and payment status. We never see or store your card number; that stays with Stripe.
  • Work records — the listings we claim for you, the URLs and profile identifiers captured at setup, and the results of each monitoring scan.
  • Email correspondence — messages you exchange with us at the address we set up for your engagement, including attachments, which are scanned for malware before anyone opens them.
  • Usage data — standard server access logs (IP address, browser type, pages visited). Logs are retained for 30 days and used only for security and performance monitoring.

We do not use tracking pixels, behavioral advertising, or cross-site tracking cookies.

Access to Your Business Accounts

The paid service requires us to work inside your listing accounts. Where you grant it, we hold delegated manager-level access — an invitation issued to one of our own named accounts on each platform. We do not ask for, collect, or store your passwords, and we do not take Primary Owner status unless you specifically ask us to.

We record which of our accounts holds access to which of your listings, so that access can be found and handed back. When your engagement ends we relinquish it, as described in your service agreement.

How We Use Your Information

  • To run and deliver your AI Readiness audit, monthly reports, and ongoing monitoring
  • To create, claim, correct and maintain your business listings on the platforms named in your agreement
  • To communicate with you about your account or service updates
  • To bill you and keep the financial records we are required to keep
  • To improve the accuracy of our AI visibility scoring

We do not sell, rent, or share your personal information with third parties for marketing purposes.

Third-Party Services

Delivering the service means asking other platforms what they currently say about your business, and publishing corrections where they are wrong. The following receive information from us, and in every case it is the business details listed above — not personal information about you beyond a contact address where the service requires one.

To research and monitor your visibility:

  • SerpApi — retrieves Google Search and Google Maps results for your business.
  • Google Places API — business discovery and profile details.
  • Apify — reads your Yelp, Bing Places and Better Business Bureau listings, none of which offer an API we can use for this.
  • Perplexity — asked, as an AI assistant would be, what it knows about your business, so we can measure how you are described. Your business name and location are sent; no personal data is.
  • Wikidata / Wikimedia — a public knowledge base we read from and, where your business is eligible, contribute to. Anything published there is public and permanent, under a CC0 public domain dedication, and Wikimedia's rules require us to publicly disclose that we work for you.
  • OpenStreetMap / Nominatim, Overpass, the US Census Bureau and GeoNames — address and place lookups. No personal data is sent.

To operate the business:

  • Stripe — payment processing. Stripe's privacy policy governs the card details you enter at checkout; we never receive them.
  • Maileroo — sends and receives email for the service, including your reports and your service agreement.
  • Cloudflare Web Analytics — privacy-respecting, cookieless analytics. Collects anonymized page-view data (page URL, referrer, device type, country) with no tracking cookies and no cross-site tracking.
  • jsDelivr (CDN) — serves Bootstrap CSS/JS. Standard CDN access logs may be retained by jsDelivr.

E-signature and anti-spam verification run on our own servers, not a third-party service, so your signed agreement is not handed to an outside processor.

We add a provider only where it is needed to deliver the service, and this list is updated when that changes.

Data Retention

  • Contact and account data — retained while your subscription is active and for 90 days after it ends, so you can request an export. Deleted after that.
  • Business scan data, audit reports and work records — retained for up to 12 months after your subscription ends. These are business details and listing history rather than personal information, and keeping them means a returning client is not starting from zero.
  • Billing records — retained as long as tax and accounting rules require.
  • Server access logs — 30 days.

You may request deletion at any time by emailing us, and we will honour it except where we are legally required to keep a record.

Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us at dbrown@smbaiguy.com. We will respond within 30 days.

Information we have published on your behalf to a public platform — a corrected Google listing, a Wikidata entry — cannot always be withdrawn by us, because those platforms control their own records. We will tell you what we can and cannot undo.

Changes to This Policy

We may update this policy from time to time. The effective date at the top of this page will reflect the most recent revision. Continued use of the service after changes constitutes acceptance. As with our Terms of Service, an update here does not amend a signed AI Readiness Services Agreement.
